Project Terms & Working Method
How projects start
Every project begins with a conversation. Send the outline of your shoot - subject, location, intended use, timeline, and any references you have - and you will receive a custom quote based on scope, editing depth, delivery format, and usage rights. There is no obligation at the inquiry stage.
Quoting and scope
Each quote is tailored to the specific project and covers the agreed scope: shoot duration, number of final edited images, location (including travel within the Netherlands), editing and colour grading, and delivery format. Any additional requests beyond the quoted scope will be discussed and may adjust the fee.
Quotes are valid for 30 days from the date they are sent. A confirmed booking requires written agreement (email is sufficient) before the shoot date is reserved.
Payment
Payment terms are specified in the quote. Typically, a partial upfront payment secures the shoot date, with the remainder due upon delivery of the final images. Invoices are sent by email and include the relevant payment details. Standard payment term is 14 days from the invoice date unless otherwise agreed.
Delivery
Final images are delivered via a private online gallery for review and download. The delivery timeline depends on the project scope and editing depth and is communicated in the quote. Typical turnaround for a standard shoot is 1–3 weeks. Rush delivery may be available for an additional fee.
Images are delivered as high-resolution files suitable for print and large-format use, plus web/social-optimised exports. All images are colour-graded for consistency across the full set.
Usage rights
The standard license grants the client the right to use the delivered images for the agreed purpose (such as website, social media, campaign, print, or editorial use) as stated in the quote. The photographer retains copyright and the right to use the images for portfolio, self-promotion, and exhibition unless otherwise agreed in writing.
Full copyright buyout or extended usage rights are available and are quoted separately. Images may not be resold, relicensed, or shared with third parties for commercial use without prior agreement.
Cancellation and rescheduling
If you need to cancel or reschedule, please let me know as early as possible. For cancellations within 48 hours of the shoot date, the upfront payment may be retained to cover reserved time and preparation. Rescheduling is free of charge where availability allows. Weather-dependent outdoor shoots will be rescheduled at no extra cost if conditions are unsuitable.
Liability
Every effort is made to deliver images of the highest quality. In the unlikely event of equipment failure, data loss, or circumstances beyond reasonable control, liability is limited to a full refund of fees paid for the affected part of the project. The photographer carries professional equipment and maintains backups throughout the editing process.
